Brown & Associates, PLLC is a boutique law firm in Charlotte, NC, serving clients throughout North and South Carolina. The primary focus of this role is estate planning, trusts, wills, and estates, with additional work in corporate matters and litigation. We are committed to delivering high-quality legal representation in a professional and client-centered environment.
Position Overview:
We are seeking a Legal Assistant & Client Services Coordinator to support two attorneys in a fast-paced legal practice. The ideal candidate is a self-starter who enjoys client interaction, is highly organized, and can work independently. Strong communication skills, attention to detail, and emotional intelligence are essential for this role.
Key Responsibilities:

Serve as the first point of contact for clients, providing a welcoming and professional presence in person, over the phone, and via email.

Use a trauma-informed approach when assisting clients, particularly in estate planning and probate matters.

Assist with estate planning, trust administration, and probate tasks, including document preparation and client follow-up.

Provide occasional support for corporate and litigation matters.

Manage attorney time entry and billing with accuracy.

Handle bank deposits, process payments over the phone, and communicate with the firm’s bookkeeper and CPA regarding deposits.

Maintain and organize legal files, ensuring timely document preparation and filing.

Schedule client appointments, manage attorneys’ calendars, and coordinate deadlines.

Conduct client intake and follow-ups, ensuring clear communication and case progression.

Maintain office supplies and support the efficient operation of office systems.

Uphold confidentiality and ethical standards in handling client matters.
Qualifications:

Prior experience in a law firm is required.

Excellent writing and editing skills.

Strong client service skills with the ability to communicate with empathy and professionalism.

Highly organized, reliable, and able to work independently.

Strong emotional intelligence and conflict resolution skills to navigate high-stress legal matters.

Ability to manage sensitive and confidential information with discretion.

Proficiency in Airtable and MyCase for internal and client communications is a plus.
Work Environment & Schedule:

Full-time schedule: Monday – Friday, 8:00 AM – 4:00 PM or 9:00 AM – 5:00 PM.

Part-time remote work may be available after successful training and demonstration of a strong understanding of office systems.
